The Maxwell Underground Mine, owned by Malabar Resources Ltd has commenced operations at their Hunter Valley site, with planned production of up to 8 million tonnes of per annum. With approvals in place out to 2046, the mine targets high quality coal with the majority being metallurgical coal.

ABOUT THE ROLE
Maxwell Underground Mine are current seeking an enthusiastic Contracts Coordinator to join our Team. Reporting to the Warehouse & Supply Superintendent, the incumbent will provide expert guidance to site management and contract holders throughout every stage of the contracting process. You’ll oversee the full contract lifecycle from developing tenders and coordinating procurement activities, to managing negotiations, maintaining documentation, and ensuring all processes align with company policies, procedures, and approved contract systems.
Additional responsibilities may include, but are not limited to:
- Developing tender documentation, managing the complete tender process including stakeholder liaison and enquiry responses, conduct compliant evaluation processes, and complete supplier negotiations to ensure performance and cost requirements are met.
- Drafting, reviewing and managing contracts with clearly defined terms and performance metrics, provide ongoing contractual advice on variations, disputes and terminations, and proactively manage contract renewals and extensions.
- Monitoring and evaluating supplier performance against quality, safety and delivery standards, maintain comprehensive knowledge of current and potential service providers, and develop strong vendor relationships to ensure reliable partnerships.
- Monitoring contract expenditure and overall contract management performance, negotiate competitive pricing while maintaining quality and safety standards, and identify cost reduction opportunities through supplier consolidation and bulk purchasing arrangements.
- Maintaining accurate and efficient systems for recording, storing and retrieving all contract-related documentation.
- Providing ongoing training and support to mine contract holders, assist site personnel in resolving procurement-related issues including delays and non-conformance, and monitor contract management processes to identify efficiency and effectiveness improvements.

ABOUT YOU
To be successful, you will have experience and demonstrate capability in the following:
- Trade/Tertiary qualifications (Business/Commerce/Engineering/Law) or equivalent industry experience.
- A minimum 3 years’ experience within a similar position.
- Highly developed interpersonal and communication skills
- Experience with the Pulse Mining Systems ERP would be advantageous
